Build a parental leave timeline before writing to HR

How employees in Germany can organise parental leave dates, notice points and open questions before contacting HR.

An HR form is easier to complete when you have already separated facts from preferences. Before drafting a notice, make one timeline that the whole family can read.

Mark the anchor dates

Start with the expected or actual birth date and your intended first day of leave. Add any maternity protection period that is relevant to your family, your partner’s proposed leave, and the earliest childcare date you can rely on.

Distinguish a deadline from a decision

Some dates concern formal notice; others are personal planning points. Use different colours or columns. This prevents an internal target—such as deciding on working days—from being mistaken for the date by which a notice must reach the employer.

Record assumptions

If a plan depends on a nursery place, a partner’s rota or approval of reduced hours, label it as an assumption. Then prepare an alternative rather than quietly treating an uncertain point as settled.

Check the correct source

General guidance can orient you, but statutory timing and eligibility should be checked against current official information or qualified legal advice where the situation is disputed. Keep links or written replies alongside your timeline so you know why a date was chosen.
